Procurement & Materials Manager

The Procurement & Materials Manager is a detail-oriented and proactive leader responsible for overseeing the planning, procurement, tracking, and coordination of materials and equipment required for project execution. This role ensures optimal cost efficiency, quality, and delivery by evaluating suppliers, negotiating contracts and terms, monitoring market trends, and maintaining accurate purchasing and inventory records. The Manager plays a critical role in supporting development and construction teams by ensuring timely, reliable material availability and maintaining visibility into material flow through the project lifecycle. 

 

Key Responsibilities: 

 

  • Procurement Management: Source and procure materials, equipment, and services to support project and operational needs. 

  • Supplier Evaluation & Contract Negotiation: Research and evaluate suppliers to ensure optimal product quality, price, reliability, and service; negotiate contracts, delivery schedules, and terms to maximize value. 

  • New Materials Research: Collaborate with the development team to identify and evaluate new materials aligned with project design and company standards. 

  • Product Evaluation & Comparison: Evaluate material options across manufacturers, comparing key performance attributes (e.g., efficacy, reliability, technical aspects, warranty, compliance) to support informed product selection and maintain design and quality standards. 

  • Purchase Records & Documentation: Maintain complete and accurate purchase records, invoices, and contracts to support financial reporting, auditing, and inventory tracking. 

  • Inventory & Material Tracking: Coordinate with construction teams to track material deliveries and returns; maintain accurate project inventory records and off-site stock as needed. 

  • Market Analysis: Monitor market trends, pricing fluctuations, and availability issues to identify cost-saving opportunities and proactively inform internal teams of supply chain risks or opportunities. 

  • Inventory Management Strategy: Develop and maintain effective inventory management strategies that align with project delivery goals and company financial objectives. 

  • Warranty Claims Coordination & Process Improvement: Initiate and track warranty claims with vendors; maintain warranty documentation and ensure timely resolution. Proactively suggest improvements to the company’s warranty tracking workflows and database systems to enhance visibility, accountability, and long-term project support. 

  • Cross-Group Collaboration & Communication: Work closely with development teams, construction management, construction field staff, and company ownership to align purchasing strategies, product selection, material tracking, and warranty practices with overall project and company objectives. Facilitate clear and timely communication across all stakeholder groups to support smooth project execution. 

 

Qualifications: 

 

  • Bachelor’s degree in supply chain management, business, finance, or 2+ years’ experience in purchasing, inventory management, or a related field. 

  • Proven experience in purchasing, procurement, and inventory management within a project-based or construction-oriented environment. 

  • Excellent communication and organizational skills. 

  • Detail-oriented with strong analytical and problem-solving capabilities. 

  • Ability to collaborate effectively across diverse teams, including development, construction management, field staff, and company leadership. 

  • Demonstrated ability to take ownership of processes, drive improvements, and proactively identify and resolve issues. 

 

Preferred Skills: 

 

Technical & Industry Knowledge 

  • Experience in the lighting or electrical industry, including understanding of key product attributes and compliance considerations. 

  • Familiarity with inventory management strategies and material lifecycle tracking. 

  • Knowledge of electrical and construction documentation, including specifications and submittals. 

 

Procurement & Inventory Management 

  • Strong negotiation skills, including contract terms, pricing, and delivery schedules. 

  • Proven ability to develop and maintain effective material management strategies across jobsite and off-site environments. 

  • Experience in purchasing, procurement, or supply chain operations. 

  • Knowledge of contract management and vendor evaluation strategies. 

  • Experience coordinating warranty claims and improving warranty tracking workflows. 

 

Communication & Collaboration 

  • Clear and professional written communication for internal documentation and supplier correspondence. 

  • Effective team collaboration to support project delivery through proactive procurement and material management. 

 

Software & Tools 

  • Proficiency in QuickBooks software or similar ERP systems (SAP, Oracle, etc.). 

  • Strong proficiency with Excel for inventory tracking and cost analysis. 

  • Familiarity with project management tools (e.g., Procore, MS Project, Asana) is a plus.
