Showroom Administrator

We are seeking a dedicated and detail-oriented Showroom Administrator to join our team. This role is essential in ensuring the smooth operation of our office environment. The ideal candidate will possess strong organizational skills, a customer-focused attitude, and the ability to manage multiple tasks efficiently. As a Showroom Administrator, you will be the first point of contact for clients and visitors, making your role crucial in creating a positive impression of our company.

Key responsibilities include the following but not limited to:

Customer Service

  • Greet and assist showroom visitors to ensure they receive the best in customer care.  

  • Answer incoming phone calls in a timely & courteous manner and direct calls to the appropriate team member. 

  • Provide general support to customers, visitors and team members. 

  • Have a general to in-depth knowledge of the different products sold. 

  • Represent the company in a professional manner 

  • Schedule appointments for designers and sales as necessary. 

  • Respond to and resolve administrative inquiries and questions. 

  • Keep track of incoming orders to be able to respond 

  • Manage the delivery and service schedules: 

  • Requires coordination with customer(s), contractor(s), designer(s) and delivery staff 

  • Notify customers of product arrival and set up delivery 

Administrative Tasks

  • Manage the cash drawer 

  • Find and/or create invoices in Quickbooks 

  • Take payment from customers for invoices 

  • Balance the drawer at the end of each business day 

  • Have bank deposit ready for the accounting department at the end of the day 

  • Restock items as necessary: 

  • Pool/Hot Tub chemicals 

  • Billiard/Dart Supplies 

  • Accessories 

  • Beverages and snacks for customers 

  • Check-in incoming freight and distribute 

  • Continual customer communication throughout the length of projects 

  • Assist with bookkeeping and accounting tasks 

  • Perform general clerical duties 

  • Assist other team members with various tasks 

Showroom Maintenance

  • Ensure showroom is clean, organized and presentable 

  • Keep samples organized and updated 

  • Order samples as needed 

  • Maintain a record of checked out samples and call customers as needed for returns 

  • Prepare showroom for client meetings and events 

  • Provide input on showroom display pieces and accessories 

Other duties as assigned. 

Qualification requirements:

  • High School Diploma or equivalent education required. 

  • A minimum of 2-3 years of administrative experience. 

  • Excellent verbal and written communication skills 

  • Skilled in writing and editing content with an attention to detail 

  • Strong prioritization, organization, and project management skills 

  • Must be comfortable working with clients. 

  • Proficient in Quickbooks, Word, Excel, Outlook and display an aptitude for learning One Drive & Teams. 

  • Must be a self-starter and must be able to work independently and collaboratively in a team environment. 

  • Ability to lift up to 35 lbs.
